ARC is hiring an Office Coordinator to greet all visitors and employees and oversee the welcome experience at ARC’s Arlington office. In this role, you will perform various facilities and People & Culture administrative functions to include front desk duties, building maintenance coordination, and mailroom operations. You will answer incoming calls and direct callers to the appropriate department, manage the distribution of employee badges and act as a liaison to lobby security for external visitors and ensure snack bars are adequately stocked at all times to provide colleagues with an exceptional experience when working from the office. Additionally, you will handle mail distribution, shipment preparation, and meeting room set up. You will be given the opportunity to take ownership of completing daily and weekly tasks with minimal supervision.

 

What You'll Get to Do:

  • Answer calls and greet visitors in a timely and courteous manner. Ensure visitors sign in and are escorted to appropriate employees.
  • Maintain neat and orderly office; including following behind the cleaning staff to ensure work has been done, coordinating special requests (such as carpet stain removal), and notifying Director of issues that cannot be immediately resolved. Maintain an inventory of office and coffee supplies; source and replenish as necessary with cost effectiveness at top of mind.
  • Handle, sort, and ensure delivery of mail, packages, and shipments. Follow up with vendors on lost or late items.
  • Review meeting reservations daily to ensure meeting room preparation is handled; order catering when needed. Ensure meeting needs are met on time and with accuracy. Coordinate with A/V services as needed.
  • Act as a point of contact with vendors to obtain bids, schedule and oversee repairs and maintenance (such as plumbing, painting, etc.), which may include after-hours work. Coordinate with local Building Engineer for items needing attention (such as light bulb replacement, HVAC changes, etc.). Also communicates building events to employees.
  • Assist with a variety of administrative duties related to the Facilities and People & Culture teams.

You'll Bring These Qualifications:

  • Associate’s Degree preferred; equivalent work experience considered
  • 2+ years experience providing customer service in an office environment; facilities experience preferred, reception experience a plus
  • Effective verbal and written communication
  • Strong customer service orientation
  • Punctual, dependable, trustworthy and able to protect confidential information
  • Team collaboration
  • Eye for detail and accuracy
  • Excellent follow-through
  • Ability to follow directions
  • Ability to write and proofread professional communications and business correspondence.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
